The Opportunity: Administrative and Communications Assistant

The Administrative and Communications Assistant at LearnSphere is integral in providing administrative and communications input and support to all our projects. The Administrative and Communications Assistant reports to the Chief Operating Officer and directly supports all team members.


  • Using Microsoft Office suite to produce correspondence, documents, reports and presentations
  • Maintaining and updating the website and social media (e.g., LinkedIn, Facebook)
  • Coordinating Board meeting logistics and communicating with Board of Directors
  • Minute-taking at Board meetings
  • Representing the organization professionally in written and verbal correspondence, in both official languages
  • Assisting in the development, proofing, and formatting of corporate correspondence, documents, reports, presentations and proposals
  • Making travel arrangements and looking after other logistics in the support of projects and initiatives
  • Invoicing and providing administrative support for project-related claims


  • Graduate of a recognized administrative or communications program or be able to demonstrate work experience equivalency
  • Strong organizational, interpersonal and communication skills
  • Bilingual in English and French, possessing excellent writing skills in both
  • Excellent knowledge of Microsoft Office
  • Good knowledge of Adobe, Canva, HubSpot, content management systems and/or learning management systems considered an asset
  • Good knowledge of, Microsoft Co-pilot, ChatGPT or other AI programs considered an asset
