The Faculty of Management was established on UNB's Fredericton campus in 1951. It offers the Bachelor of Business Administration, Master of Business Administration and Master in Quantitative Investment Management programs. In 2022 it obtained AACSB Accreditation.

YOUR FOCUS

Reporting to the Executive Assistant to the Dean, the Secretary PL4 is responsible for the provision of day-to-day administrative support to the FOM (Faculty of Management), faculty, instructors, and the functions of the FOM main office; preparation of CAI postings/contracts; the reconciliation and tracking of multiple financial accounts and carrying out other functions relating to the support of the Faculty of Management in teaching and research.

  • Prepare and post all CAI positions each term (Fall/Winter/Summer) for Faculty of Management courses at both the BBA and MBA/MQIM level.
  • Prepare all CAI and Faculty stipend contracts for payment using Colleague as well as canceling contracts when necessary.
  • Onboard new CAI hires by requesting accesses, guiding IT activation, and providing necessary guidance.
  • Update and distribute the CAI handbook each term.
  • Act as the primary contact for all incoming CAI inquiries as well as distribution of all necessary information from the Faculty for CAIs.
  • Reconcile and monitor all Faculty research accounts using internal tracking systems.
  • Process faculty claims, expense transactions, and salary documents on all Faculty research accounts.
  • Provide research account holders with generated reports on request tracking account activity/balances.
  • Assist the Administrative Coordinator as needed with the faculty timetabling process to track and manage data over the course of the year.
  • Assist the Administrative Coordinator with the planning and implementation of annual events including but not limited to the Annual Business Awards Dinner, Executive-in-Residence, and Encaenia Awards Ceremony.
  • Serve as backup support to the reception rotation.
  • Perform other tasks as assigned by the Dean's Executive Assistant/Office Manager.

WHAT YOU BRING

  • Post-Secondary education in Office Administration or an equivalent level of experience.
  • A minimum of 3 years of relevant experience in an office environment.

Additional Strengths:

  • Excellent verbal, written, interpersonal, and communication skills.
  • Strong MS Office skills specifically Excel.
  • Ability to manage multiple tasks, take initiative, and manage time effectively.
  • Ability to work independently as well as part of a team.
  • Experience in the use of Colleague, specifically the financial module will be considered a strong asset.
  • Previous experience working in the university environment is considered an asset.
