Assante Hydrostone - Halifax is currently looking for two talented Branch Receptionists to join our team in Halifax, Nova Scotia. We are seeking a friendly, energetic, flexible, and hard-working individual who excels at staying organized and would describe themselves as a provider of exceptional client service. The successful candidates will work directly with other branch staff to help support advisors and their assistants in providing industry-leading customer service and comprehensive wealth management to families in Canada.
POSITION: Two part-time positions - approx. 20 hours each covering Monday - Friday, 8:30 a.m. - 5:00 p.m.
Responsibilities
Responsibilities include, but are not limited to, the following:
· Full reception coverage duties, including greeting and providing an exceptional client experience to all clients and guests, managing the flow of incoming calls to the appropriate party, and processing email correspondence
· Perform general office duties and provide administrative support as required
· Order and monitor the stock of office, kitchen, and meeting supplies
· Manage all incoming and outgoing mail and courier packages
· Open, log and distribute incoming mail as well as post outgoing correspondence
· Schedule the use of boardrooms and video conferencing equipment
· Administrative support for branch client meetings and events
Administrative support to other branch staff members and management as required
Qualifications
· Successful completion of a Business/Office Administration program, plus two years' related experience, or an equivalent combination of training and experience, ideally in the financial services industry
· Excellent working knowledge of the full suite of Microsoft Office products
· Strong written and verbal communication as well as telephone reception skills
· Strong organizational and time-management skills to set priorities and meet deadlines
· Client service oriented
· Interpersonal skills to deal with co-workers, clients, vendors, and our clients in a positive, tactful, courteous, and cooperative manner
· Ability to work independently with little supervision, as well as in a team environment
· Ability to exercise tact, discretion, sound judgment, and initiative when investigating, questioning, and dealing with inquiries, requests and submissions that are sensitive and/or confidential in nature
· Adaptable to change as the job requires, and is receptive to new ideas and willing to try new methods and approaches
