Office Manager/Design Administrator - 70K

Our client in the west end of the GTA is looking for a Design and Sales Administrator to join their growing team. The Design and Sales Administrator will have dual responsibilities with both Design and Sales Team. The Design and Sales Administrator will work in conjunction with the clients and the Implementation team payroll specialist. You must be detailed oriented and provide excellent customer service.


Responsibilities:
  • Assist in the development of client presentations, incorporating changes and details as needed
  • Assist with the project set up and schedule using project management software. Enter project data as directed.
  • Support document production including documenting meeting minutes and producing project schedules
  • Provide overall administrative assistance to Principal Designer including email management, meeting coordination and scheduling,
  • Assist with client communications and respond to inquiries as directed including welcome emails to VIP clients
  • Organize and schedule client and internal meetings. Responsible for meeting preparation including room booking, set up, and collateral materials
  • Maintain and update all activity in CRM (REMI). Ensure CRM data is accurate and clean by regularly examining records and resolving any quality issues or discrepancies. Responsibilities include tagging leads, updating lead status (i.e. abandoned, won, active), recording notes, and liaising with third-party providers

Requirements:
  • 5+ years administrative experience, preferably in an interior design firm
  • 1-3 years of project coordination experience as an asset
  • Advanced MS Office skills including Word, Excel, and PowerPoint
  • Knowledge of project management software, MS Project an asset
  • Knowledge of CRM software an asset
  • Detailed and professional in all types of communication styles (written, verbal and interpersonal communication). Professional phone and email etiquette
