Position Title: Member Outreach & Event Coordinator
Type: Full-time (35 hours/week)
Location: Halifax, NS
Start Date: mid-August

This is a bilingual position- French language is required

The Atlantic Region Association of Immigrant Serving Agencies (ARAISA) is an umbrella association which serves as a collective voice and regional forum for member organizations committed to the settlement and integration of immigrants and refugees in the Atlantic Region.

Reporting to the Executive Director, the Member Outreach and Events Coordinator will be responsive to member needs and be a strong advocate and champion for the settlement and integration sector in Atlantic Canada. In particular, during the first six months of the position, the Membership Outreach and Events Coordinator will lead the coordination of a bilingual consultation process, engaging a broad range of stakeholders and encompassing all four Atlantic Provinces, to help identify regional priorities for the settlement and integration of immigrants and refugees over the next five years.

This consultation will be carried out in collaboration with the Société Nationale de l'Acadie (SNA), through their Comité atlantique sur l'immigration francophone (CAIF). As such, the Member Outreach and Events Coordinator will support and work closely with CAIF as well as ARAISA during this initial phase of the contract.

Major Responsibilities

  • Coordinate and plan details of events such as provincial consultations, regional conferences, training sessions, workshops, and sector meetings, which may include note taking and follow up for planning meetings
  • Work within related budgets
  • Liaise with vendors, presenters, consultants and other providers
  • Create and manage invitation and registration lists, including RSVPs and other related communication with attendees
  • Support and assist with promotion for events
  • Process event registrations and requests for reimbursement of approved expenses
  • Coordinate event logistics, including registration tables, AV and translation, venue logistics, distribution of materials, evaluations, etc.
  • Implement and monitor ARAISA's membership strategies, including addressing any barriers to membership
  • Develop and maintain a member information database
  • Liaise with current members and conduct outreach to potential members as directed
  • Disseminate relevant and helpful resources and information to ARAISA members
  • Manage processes for membership applications, invoicing, processing fees and issuing receipts
  • Support the Membership Committee in developing strategies, and reviewing and maintaining membership policies and procedures, as necessary
  • Support the development and maintenance of membership services and capacity-building initiatives
  • Contribute to the development, distribution, and analysis of member surveys
  • Assist in organizing and providing support to Board and member meetings
  • Monitor, evaluate, and report on activities in areas of responsibility, including tracking of data, documentation of good practices and lessons learned, and outcomes

The Member Outreach and Events Coordinator is also responsible for:

  • Supporting general ARAISA operations, including assistance with various projects when necessary
  • Representing ARAISA at events or external meetings, when requested
  • Assisting with responding to general telephone and email inquiries
  • Other duties, as deemed necessary

Position Qualifications/Competencies

  • University degree in Social Sciences, Business/Administration, Communications, Public Relations, Marketing, or an acceptable combination of education and progressively responsible experience
  • Excellent written and verbal communication skills in both French and English required
  • Knowledge of immigrant settlement and integration organizations and their work
  • Experience organizing logistics for workshops, conferences, and other events
  • Knowledge of the Atlantic Region context
  • High level of sound and independent judgment, reasoning, and discretion
  • Superior organization and time management skills, multitasking skills, and the ability to prioritize tasks
  • Strong interpersonal skills, professionalism, flexibility, and attention to detail are necessary
  • Can demonstrate initiative, work independently and with a small, dedicated team
  • Excellent computer skills (MS Office applications, on-line sharing and meeting platforms)
  • Experience working in not-for-profit sector an asset

Working Conditions

  • Travel required throughout the Atlantic Region
