Legal Administrative Assistant


Talentcor Toronto is currently recruiting for Administrative Assistants to work in the downtown Toronto area. The hours of operation are daytime hours in TTC accessible locations. You will be compensated depending on your past experience and skills. This role provides legal administrative support primarily to one litigation lawyer and one law clerk at our Toronto office, and also occasional back-up support for other lawyers and law clerks as required when other assistants are away. Job Duties:
  • Scheduling meetings, telephone calls, discoveries, mediations, court attendances, seminars, etc., making travel arrangements and updating appointment calendars;
  • Preparing legal documentation including statements of defense, affidavits of documents, motion records, factums, case books, etc.;
  • Drafting routine correspondence (e.g. transmittal letters);
  • Preparing letters from e-mails, handwritten notes and dictation;
  • Arranging the service and filing of court documents;
  • Handling telephone, fax, email and mail enquiries from within Sun Life, outside law firms, courts, etc.;
  • Other administrative duties such as creating physical and computer files, scanning/photocopying, processing travel expenses and accounts payable, filing, updating computer records, purging closed files for offsite storage, etc.
    Training, Experience & Skills:
  • Formal Legal Assistant training.
  • At least five years' current litigation secretarial/assistant experience.
  • Familiarity with the Ontario Rules of Civil Procedure and related forms.
  • Excellent organizational skills, the ability to prioritize high volumes of work, and the ability to respond to shifting priorities.
  • Proactive regarding follow-up for outstanding matters.
  • Strong knowledge of Microsoft Word, Excel and PowerPoint.
  • Commitment to attention to detail in all work.
  • Ability to learn new information and computer systems quickly.
  • Decisive and able to work with minimal direction/supervision.
  • Excellent oral and written communication skills.
