This position is a part-time, 6-month contract, Monday through Friday, with an approximate schedule of 9:00 am - 2:00 pm/3:00 pm.

Job Duties:
- Maintain accurate records of all new and used vehicles in inventory.
- Licensing.
- Monitor vehicle inventory levels and coordinate with the sales manager to order new vehicles as needed.
- Conduct regular audits of physical inventory to ensure record accuracy.
- Prepare and process all paperwork related to vehicle sales, including title and registration documents.
- Ensure all transactions comply with applicable laws and dealership policies.
- Manage the filing and storage of vehicle records and documentation.
- Assist in the preparation of monthly, quarterly, and annual reports for management.
- Assist customers with title, registration, and other vehicle-related inquiries.
- Provide exceptional customer service by addressing customer concerns and resolving issues promptly.
- Coordinate with finance and insurance departments to ensure all paperwork is complete and accurate.
- Assist sales staff with the completion of sales transactions and delivery of vehicles.
- Ensure all sold vehicles are properly documented and removed from inventory.
- Maintain an organized and efficient filing system for all vehicle records.
- Handle incoming and outgoing mail related to vehicle transactions.
- Order and maintain office supplies related to vehicle administration.
- Other duties as assigned by management.
Successful Candidates Possess:
- High school diploma or equivalent; post-secondary education in Business Administration or a related field is an asset
- 2+ years of administrative experience
- Dealership or automotive experience is required
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and CRM or DMS systems (e.g., Reynolds & Reynolds, CDK, Dealertrack)
- Detail-oriented with a commitment to accuracy and confidentiality
- Customer service-oriented with a team-first attitude
