The Position:

Operations Director (HR & Administration)

From day-to-day operations to big-picture team building, as Operations Director, the company's future direction flows through you. Your keen business sense and superior organizational skills, sharpened by five or more years experience working with industry-standard software, will drive our HR strategy, as well as manage our financial systems, IT needs and production demands.

As well as being a self-starter who is able to work both independently and in a team environment, the ideal candidate will preferably have experience in communications and marketing.  In addition, the candidate will have professional communication skills, both spoken and written, be able to deal with the general public, be well organized and able to prioritize and have the ability to multi-task.  The candidate must demonstrate technical capabilities, problem-solving and interpersonal skills.

Key Responsibilities:

  • Respond to client requests
  • Office management
  • Monitor job costs
  • Book travel arrangements / process travel claims
  • Assist with development of proposals
  • Draft e-mails, memos and letter responses, reports and PowerPoint presentations
  • Follow-up on behalf of the CEO on various items of information, procedures, etc. and matters requiring timely action
  • Develop, implement and maintain business practices and processes for office administration (i.e. Timekeeping)
  • Prepare invoices and financial/employee summaries
  • Maintain and distribute throughout the office various items of information, standard procedures, etc.
  • Support the planning and implementation process for projects related to strengthening the workplace program including organizing and executing activities and events
  • Coordinate the orientation of new employees
  • Track operating budgets including expenses for administration and staff resource requirements
  • Coordinate and deliver benefits with outside agents such as group insurance
  • Maintain accounts payable/receivable
  • Coordinate work & negotiating with vendors
  • Coordinate payroll & vacation time
  • Prepare accounts for collections
  • Maintain client database
  • Coordinate meetings
  • Respond to telephone inquires
  • Perform word processing
  • Handle petty cash and office purchasing
  • Operate switchboard

Professional Requirements:

The successful applicant will possess a diploma (equivalent to two year full-time study) in Office Administration with a minimum of five years administrative/supervisory experience.  Advanced knowledge of Microsoft Office (Word, Outlook, Excel, Access) and Corel are also required. Strong organizational skills, time management skills and decision-making skills are essential to this position. In addition, the successful applicant must possess excellent communications skills, both verbal and written to deal with internal and external contacts. The applicant must have demonstrated ability to successfully manage confidential information.
