Administrative Secretary 1
French Department

 
With minimal supervision provide administrative secretarial support to the Chair, French Department.  Maintain a sound knowledge of University policies, procedures and regulations in order to relieve the Chair of routine matters.  Set up and maintain computer and hardcopy files.  Format and prepare a variety of materials.  Provide support and coordinate logistics for the faculty hiring process.  Maintain appointment, promotion and tenure files.  Prepare CUPE job postings in compliance with CUPE/Board Collective Agreement.  Set up and maintain personnel files for faculty, staff and students.  Facilitate process for student assistants arriving from France.  Provide administrative secretarial support to the Graduate Program and Graduate Coordinator; coordinate the application and admissions process; prepare a variety of applications and forms for Graduate Coordinator's signature, such as grant applications, scholarship recommendations, GSPIPS, etc.; act as resource person to graduate students.  Provide support to Italian Studies program including maintenance of website, and departmental publications.  Perform further related duties.  Position reports to the Chair.
 
Qualifications/Experience: Completion of business/office administration program with approximately five years' related work experience (or equivalent combination of training and experience).  Familiarity and experience with academic regulations required.  Excellent organizational, interpersonal and communication (written and verbal) skills are essential.  Proficiency with MS Office (Word, Excel, Access) required; proficiency with QuarkXPress, PageMaker (or comparable software) highly recommended.  Banner and Collage experience considered assets.  A good working knowledge of written and spoken French is required.
 
Salary range: $31,348 – $38,2293 (32.5 hrs/wk)
