Receptionist

to join our Charlottetown team. Reporting to the General Manager, the successful candidate will be responsible for providing administrative and support services to the Management team.  This position is essential to assist the efficient and effective management of the IEMS support office to ensure inquiries and general administrative issues are dealt with in a timely and appropriate manner for the General Manager or Supervisor

Receptionist Duties Include:

The position entails, but is not limited to the following:

  • Efficiently process incoming calls, direct calls and accurate messages to the appropriate staff or management.
  • Greet customers in a pleasant, courteous and professional manner.
  • Receive payments for Ambulance Services (Invoices) from customers.
  • Coordinate incoming and outgoing mail, couriered items, and delivery of packages.
  • Coordinate incoming and outgoing fax messages.
  • Date, sort and match packing slips.
  • Photocopy and sort documents as required.
  • Order and maintain inventory of stationery and office supplies in adherence to the IEMS purchasing guidelines.
  • Photocopy/Scanning Patient Care Reports (PCRs) for Billing, Clinical and Medical audit distribution purposes.
  • Process return mail.
  • Requires excellent organizational and time management skills to prioritize workload. 
  • Demonstrates effective listening skills and the ability to follow instructions.
  • Exercises good judgment and decision making skills.
  • Assist with other duties as required by the General Manager and Supervisory staff.

Experience & Qualifications Required:

  • Minimum Grade 12 and one-year business college course
  • Minimum one year related experience in a professional office setting
  • Requires superior diplomacy and interpersonal skills in dealing with difficult situations.
  • Ability to work well under pressure, often under strict timelines.
  • Requires proficiency in Microsoft office including Word, Excel, Access, PowerPoint and Outlook, etc.
  • Previous experience in EMS or healthcare setting is considered an asset.
  • Knowledge of medical terminology an asset.
