Administrative Assistant

to join our Charlottetown team. Reporting to the General Manager, the successful candidate will be responsible for providing administrative and support services to the Management team.  This position is essential to assist the efficient and effective management of the IEMS support office to ensure inquiries and general administrative issues are dealt within a timely and appropriate manner for the General Manager and Supervisors.

Administrative Duties Include:

  • Responsible for the administration of patient care records, coding, tracking, and submitting for invoicing.
    Prepares and coordinates communication and correspondence on behalf of the Office and the General Manager.
  • Demonstrates excellent organizational and time management skills to adequately prioritize workload.  Able to work well under pressure, often under strict time deadlines.
  • Organizes and coordinates travel arrangements, meeting facilities and compiles monthly expense claim forms. 
  • Demonstrates effective listening skills and the ability to follow instructions.
  • Exercises good judgment and decision making skills.
  • Prepares and reconciles monthly visa statements and/or invoices for processing by the Finance Department.
  • Maintains regional filing system and keeps an accurate record of correspondence and reports.
  • Preparing bill payments for Bank Deposit.
  • Assists with other duties as required by the General Manager and Supervisory staff.

Qualifications Required:

  • Minimum Grade 12 and one-year business college course
  • Minimum five years related experience or equivalent combination of education and experience. 
  • Requires extensive knowledge of the policies, structure and functions of internal administrative systems and practices applicable to private industry. 
  • Requires superior diplomacy and interpersonal skills in dealing with difficult situations.
  • Requires proficiency in Microsoft office including Word, Excel, Access, Powerpoint and Outlook, etc. 
  • Prior experience working with databases is essential. 
  • Knowledge of medical terminology an asset.
