Job Title:  Administrative Assistant

Accountability:

Accountable for the efficient administrative support of the Director and his team. 

The Administrative Assistant will manage, co-ordinate and control the workflow, scheduling and information processing required by the Director and his team in St. John's and Halifax.

Key Responsibilities & Measurements:

The responsibilities of the Administrative Assistant include assisting the Director with day-to-day schedules, assisting with various projects within the organization and working directly with each of his direct reports.  Must be able to work in a matrix organization with dotted line responsibilities to Sales, Delivery Manager and other departments. 

Time Management:  Maintains effective schedule for the Director by proactively managing recurring functions and events without direction.  Manages his/her own tasks to ensure both large and small tasks are completed in a timely and precise manner.

Communications:  Assesses priorities on a regular basis with Director including the priorities for the department.  Maintains confidentiality and uses discretion when privy to confidential or sensitive information.

Administration/Staffwork:  Completes daily administrative work in timely fashion without direction.  Is proactive in terms of changes to processes and practices as it relates to the department.  Manages office issues (maintenance, landlord, communication services).  Administrative duties as needed - including but not limited to filing, faxing, photocopying, ordering supplies, taking minutes, MAC forms, processing invoices and greeting guests/clients.  Assists staff with administrative/technical issues.

Special Projects:  Completes special projects as required, including travel arrangements, off-site meetings.  Also contract and SoW administration, updates WO website, assists with marketing activities, and assists Sales with RFP responses.

  • Advanced Microsoft Outlook, Word & Excel skills
  • Intermediate Microsoft Powerpoint skills
  • Accounting knowledge
  • Exceptional written and spoken English skills
  • Attention to Detail
  • 2+ years experience in a professional environment
  • Strong Math skills
  • Able to multi-task and prioritize changing responsibilities
  • Strong desire to grow and develop skills
