Duties:

The Secretary II, under the direction of the Manager of NSAC International, is responsible for the coordination and efficient operation of the day to day administration of the office.  Responsibilities include reception duties, preparing correspondence and reports, developing and maintaining filing and data collection systems, responding to general enquiries by phone and organizing daily workload to meet priorities and demands.  The Secretary II processes payroll for NSAC International employees.  With respect to international programming, the incumbent is responsible for maintaining educational bulletin boards on campus and coordinating the logistics of student and community awareness events.  The incumbent will manage health insurance for international students and will assist the International and Exchange Student Coordinator in providing a broad range of support services for international and exchange students.  In addition, the Secretary II will be required to support project management and development on a daily basis. The incumbent will prepare travel advances and make travel arrangements for international travelers and visitors to Canada.  The incumbent will play a key role in preparing for public awareness events. 

Qualifications:
 
Grade XII and a relevant commercial course including computerized accounting plus a minimum of three (3) years of related experience.  Experience working in an international office and in an academic environment would be an asset.  A working knowledge of international funding agencies, international issues, and experience with international travel advisories, visa requirements and treasury board policies, would be considered assets to ensure NSAC's effective and efficient reporting to funding agencies.  Strong multi-national, cross-cultural and geographic skills and competencies are essential, as are excellent written and verbal communication skills, including presentation skills.  The Secretary II must be able to work independently and as part of a team.  A high level of initiative and problem solving abilities, together with an ability and willingness to meet deadlines and shifting priorities in a fast paced office environment, while ensuring accuracy and attention to detail, is compulsory.  The incumbent will be highly proficient in Microsoft Office and WordPerfect Office suites, including word processing, spreadsheets, presentations and database management. Experience in web page management, desktop publishing and SAP is an asset.  Occasional weekend and evening work is required.
