Position: Administrative Assistant, Litigation

We are looking for an experienced legal Administrative Assistant to work in the Litigation Department of our Saint John, NB, office.
Duties and Responsibilities:
Using approved precedents or dictated notes, prepare Litigation documentation. Produce required legal documents for Litigation matters from notes or dictation. Prepare all notes and attachments as well as general correspondence relating to external client matters and/or other firm matters. Prepare fax, courier, hand deliveries and special deliveries for processing by Office Services/Reception. Open and settle files, maintain filing system daily. Maintain and use precedent system as needed. Maintain bring-forward system and closed file index system. Prepare daily timesheets as well as other accounting forms and process as required. Prepare accounts as required, ensuring accuracy of disbursements; prepare correspondence; follow up on accounts as requested. Assist in maintaining appointment calendar, resolve conflicts in schedule when necessary. Book travel arrangements. Process daily mail as instructed, arrange and confirm meetings. Schedule discoveries as requested. Other duties as required.
Experience and Educational Requirement:
Legal Assistant/Secretarial diploma from recognized institution. Minimum of five years' experience in Litigation is required. Advanced knowledge of Word and Outlook is essential; some prior experience in Excel, PowerPoint and Legal Vision is preferred. Exceptional communication skills and organizational abilities are required.
