New Brunswick Public Library Service (NBPLS) is looking for an organized and dynamic individual to provide administrative support to the Executive Director and the members of the management team at its provincial office in Fredericton.

Reporting to the Executive Director, the Branch Secretary is responsible for preparing internal and external correspondence, reports, and minutes of meetings, including those of the NB Public Libraries Board; typing, formatting and distributing documents based on established standards; providing reception service; receiving and sorting mail; tracking mail which requires follow up and creating action files for staff; organizing and maintaining a central filing system in accordance with provincial standards; maintaining shared electronic folders and electronic distribution lists; maintaining the content of the NBPLS intranet and some content on the NBPLS web site by means of a user-friendly interface; translating short documents; preparing and coordinating requests for translation and interpretation services; scheduling and organizing logistics for meetings including making travel arrangements and preparing files for meetings; maintaining an inventory of office equipment.

The Branch Secretary also assumes a liaison role between the regional offices and the provincial office in the area of records management and in researching and disseminating policies and procedures as well as with the administrative office for the department's senior management in order to coordinate the provision of required documents and the scheduling of meetings.

Applicants should have a high school diploma supplemented by completion of a program in secretarial or administrative support or office management and three (3) years of related work experience is required.  An equivalent combination of education and experience may be considered.  Experience in an automated work environment and strong knowledge of computers, e-mail, Internet, as well as of the following software: Word, Excel and Power Point are necessary. Written and spoken competence in English and French is required.

The successful candidate will demonstrate initiative, creativity, excellent organizational skills and an ability to work both independently and in a team environment. Strong interpersonal and communication skills are essential.
