Office Assistant

Shared office with several companies in a downtown Halifax office currently has an opening for a skilled Office Assistant.  Duties include, but are not limited to:

  • Answering and routing all incoming telephone calls for several companies;
  • Greeting office guests;
  • Provide secretarial and administrative support;
  • Maintain filing systems;
  • Complete travel arrangements and process expense claims;
  • Word processing; data entry; preparation of documents and presentations;
  • Ordering supplies;
  • Maintaining databases and managing news release distribution
  • Sorting and distributing daily mail;
  • Receiving and distributing faxes and courier deliveries;
  • Other general administrative duties as required.

The qualified candidate should have:

  • Strong administrative skills, including typing skills and knowledge of office telephone systems;
  • Excellent computer skills, specifically with Microsoft Office 2007 products, including PowerPoint.  Internet and email required;
  • Organizational skills, attention to detail and self-initiative;
  • Experience in a related role;
  • Bookkeeping considered an asset; 
  • Experience with website maintenance considered an asset.
