The Alpha group supply chemicals to industry and operate a trans-loading facility in Waverley, Nova Scotia. They import and export chemicals for industries from water treatment, food and beverage to oil and gas and textiles.
The Administrative assistant position is a support position to the Office Manager and will be responsible for general administration and accounts payable functions. In addition, the administrative assistant will provide support to other staff members as needed.
Main Duties:
- Matching invoices and POs and preparing payables for processing
- Providing support to Sales and Customer Service staff
- Daily Bank deposits
- Answering and transferring telephone calls
- Greeting visitors and directing to the proper department or person
- Incoming and out going mail
- Maintaining WHMIS/TDG labels for shipments
- Maintaining internal MSDS system in compliance with Canadian Regulations
- Data entry
- Filing, both hard copy and electronic, correspondence, and general administrative duties
- Marketing support to sales staff including preparing presentations and marketing brochures
Requirements:
- An advanced working knowledge of Word, Excel and bookkeeping
- Comfortable working on a multiple drive network
- Experience in AP
- Minimum 3 years experience combined with secretarial and administrative experience
- Grade 12 with post-secondary education in office administration
- Excellent organizational, prioritization and electronic file management skills
- Extreme accuracy & attention to detail
- Excellent communication skills and the ability to work in a team with fixed deadlines
- Ability to work in a fast-paced, multi-task environment
- Experience in ISO internal auditing preferable
