Job Description Taking telephone orders from Clients, expediting and scheduling order delivery, responding to telephone inquiries on all products. Provide support, and be a resource for internal and external customers including the other locations in the Atlantic Provinces. Must continually provide superior support to all departments. Proof, convert and manage all aspects of quotations/orders as per company policies and procedures resulting in delivery requirements being met and exceeding client expectations. Coordination of orders which include: quote conversion, damage claims, invoicing including issuing credits and debits, vendor acknowledgements, customer acknowledgements, supplier follow-up, coordinating shipments with freight company, filing, photocopying, and faxing.
Responsibilities Specific Accountabilities -
• First point of contact for all customers, and suppliers for general inquiries, specifics on orders placed, request for service and pricing for parts.
• To fully understand and utilize Outlook, Excel, Word, and ease of learning internal programs.
• Proof quotes, service orders, and furniture orders ensuring all codes, customer request dates and other pertinent information are accurate and reflect the manner in which the order is to be handled.
• Project management on orders, call project meetings, obtain dates and communicate changes to client, complete documents and ensure client authorization is obtained where required, coordinate with client.
• Convert orders and issue purchase orders in a timely manner
• Provide parts and product quotes and place subsequent orders when required..
• Track and record orders and projects ensuring all are scheduled.
• Track and record service orders to ensure service levels are being met.
• First point of contact for customs and duty issues.
• Damage claims - to be filed within specific timelines and monitored on the public folders.
• Receive, coordinate and manage orders and projects ensuring that all costs are charged accordingly.
• Warranties to be completed and invoiced as per supplier warranty guidelines.
• Invoicing of all products and services daily for all locations. This includes entering debits and credits when required. To verify all information is accurate prior to issuing invoice.
• Must be proficient with our stocking program and use of inventory inquiry screens to assist both sales staff and customers with product inquiries.
• Print and monitor inventory reports for products that have been provided on demo or loan to customers. Color code and discuss with sales person. Coordinate the pick up of product or generate invoice to client.
• Must be a team player
• Must take initiative to resolve issues which may negatively impact the service level to our customers.
• Other responsibilities may be assigned.

• Furniture product knowledge a definate asset
• Ability to function independently with minimal supervision as well as in a team by assisting other team members during low and high peak periods.
• Ability to work under pressure with short lead times and deadlines
• Strong analytical, problem solving, and process thinking skills
• Computer literacy including competence in Windows-based desktop applications
Compensation 26k - 30k ($12.50-15/hr)
