In less than two years, thousands of our country's best and brightest will set their sights on Nova Scotia as we host the Halifax 2011 Canada Winter Games.  More than 3,600 athletes, coaches and managers from across Canada, 400 media, 700 VIPs, 500 officials and thousands of visitors will head east for the two-week event.  Featuring 20 sports and numerous cultural events and festivals, the Games will be the largest event in Halifax's history, and our first time hosting the Canada Winter Games.
 
Overview:

Are you looking for an opportunity to apply your administrative skills, give back to your community, learn new things and make new contacts along the way?  Do you enjoy juggling multiple priorities, providing superb client service, and are people-oriented?  The 2011 Canada Games is looking for volunteers to help ensure the Games offices run smoothly, including providing office administration support during vacation leaves, events, staff meetings and to cover during employee illness.  

As the initial point of contact for inquiries and visitors, the Office Administrator  must always present and act in a professional manner, to represent the Host Society office.   Duties will include:

  • Providing front-line reception service, responding to inquiries, greeting and welcoming in-person visitors;
  • Processing incoming and outgoing mail, including preparing packages for courier delivery; and,
  • Performing a variety of administrative duties including word processing (preparing letters, mail-outs, etc.), photocopying and document preparation, filing, and data entry.

Qualifications
The Volunteer Office Administrator must offer at least one year of experience in a receptionist or administrative assistant role, computer skills that include Microsoft Office software (Word, Excel, and PowerPoint) and email/calendar programs such as Groupwise or Outlook.  The Volunteer Office Administrator will interact with staff, Board members, volunteers, and members of the public throughout the planning and delivery of the Games; therefore, professionalism, flexibility, attention to detail, and a customer service orientation are required.  Bilingualism (English and French) is an asset.

Please note that this volunteer opportunity requires the Volunteer Office Administrator to be available to work during core office hours (8:30 a.m. – 4:30pm, Mon-Fri).   As part of the selection process for this position, our successful candidate may be asked to complete appropriate background checks.
