Halifax 2011 Canada Games Host Society

In less than two years, thousands of our country's best and brightest will set their sights on Nova Scotia as we host the Halifax 2011 Canada Games. More than 3,600 athletes, coaches and managers from across Canada, 400 media, 700 VIPs, 500 officials and thousands of visitors will head east for the two-week event. Featuring 20 sports and numerous cultural events and festivals, the Games will be the largest event in Halifax's history, and our first time hosting the Canada Winter Games.
Overview
The V-Team Rep will represent their respective functional area on the Venue Team (V-Team) for an assigned venue, leading up to and during the Games, working closely with volunteers and staff at the Host Society. The V-team Rep will liaise and share communication between the V-Team, their functional area and staff.
V-Team reps will be required for the following functional areas, starting in the fall of 2009 with volunteer orientation planned for mid-October:
Admin and Finance – ensuring that sound money management and risk management practices are in place to adequately protect the host society.
Culture and Ceremonies – Ensuring that all participants get the opportunity to experience Nova Scotia culture, developing programs through which Nova Scotia's younger artists can find an outlet for expression and artistic excellence, and creating ceremonies that celebrate the enjoyment in sport, the success of athletes, and the thrill of being a spectator.
Environmental Services – Ensuring an environmentally friendly waste management plan including reduction and recycling programs, and garbage and litter pick up, as well as an athlete and public awareness/education program.
Fit Out – Ensuring that there is appropriate fit-out and de-commissioning plan for sport and non-sport venues.
IT – Work with a established IT delivery team to ensure the venue is fit-out with appropriate IT services and help coordinate IT support volunteers during the games.
Language Services – ensuring services at each venue are provided in both official languages to all participants, volunteers and spectators.
Marketing & Sponsorship – ensuring brand consistency and representing sponsors' interests at the various venues. The reps will work with fit-out representatives to ensure that signage is appropriately placed, will oversee the management of the VIP/ Sponsor lounges (at certain venues), and will ensure that merchandise and ticket operations are functioning properly.
Materials Management – ensuring materials and equipment needs to plan and execute the Games are received, delivered, recovered and disposed of in a timely manner.
Media – liaising with media at the venue, helping to coordinate athlete interviews and making sure media have what they need to tell the stories of the Games.
Medical – ensuring that appropriate medical facilities are accessible and operational at all sporting and no-sport venues to allow for safe and healthy environment for all participants and spectators.
Parking – ensuring that there is adequate, safe and clean parking at venues and other significant locations.
Signage and Fabrication – ensure that field of play, wayfinding, sponsor signage is provided for the venue as well as helping coordinate and specific fabrication needs at the venue.
Security – ensuring that there is a safe and secure environment for all athletes, coaches/managers, officials, media, VIPs, Games staff, volunteers, and spectators, as well as ensuring the security of all venue equipment.
Spectator Services – ensuring that frontline customer services (including medical) are provided to enhance the spectators, media, VIP's and volunteers experience at the Games.
Transportation – ensuring that suitable and timely transportation is available to all participants, coaches, officials, VIP's, and mission staff, including their luggage and equipment.
Universal Access – ensuring accessibility for athletes, officials, volunteers, Media and spectators at the sport and non-sort venues.
Volunteer Services – working with an established volunteer services delivery team, the V-team Rep assesses venue volunteer needs and shares information related to recruitment, assignment, orientation, training, care and comfort, and accreditation during Games-time, making sure that the volunteer requirements for staging the Games are met.
The V-team Rep will:
- Ensure divisional needs and requirements are addressed within their assigned venue
- Provide input into the preparation of the venue, development of emergency procedures, and the finalization of site plans for their assigned venue
- Ensure Policies and Procedures of their respective divisions are in place to operate the venue as effectively and efficiently as possible
- Escalate issues and decisions required to the V-Team Lead, functional area, and staff
- Assist in the preparation of V-Team status reports and project schedule updates
- Assist in the development of risk management plan and detailed risk analysis of their assigned venue
- Maintain an open line of communication between all stakeholders, including the V-Team leader, their functional area/committee lead, and staff.
Qualifications:
- Excellent interpersonal and communication skills
- Strong planning and organizational skills
- The proven ability to take initiative
- Leadership experience would be an asset
Time Commitment:
- The time commitment will vary, but will include approximately 4-6 hours per month during the planning phases of the Games.
- As venue operations plans are developed, an accurate estimate of the time commitment required during the two-week Games period will be shared.
